
Corporate Coffee Catering and Mobile Espresso Bar
Corporate coffee catering puts a staffed espresso bar inside a workday: a conference break, an all-hands, a client appreciation afternoon, a trade show booth. It buys attention. When in the day a coffee bar actually works
Arrival and registration. The strongest window at a conference and the hardest one on the cart. Everyone walks in inside about thirty minutes and nearly all of them want coffee. This is the slot where a second barista pays for itself.
The mid-morning break. The easiest to serve well, because the agenda hands you a fixed window and a known headcount.
Two in the afternoon. The most underrated placement at an all-day event. The room is flat, the next session is the one nobody remembers, and iced drinks move fastest here.
The lunch hour. Skip it. A cart during lunch underperforms almost every other slot, because people are eating and half the room has left the building.
A trade show booth. Not a break at all. The cart runs the whole floor window and works as a traffic device rather than a service. Worth knowing before you book it: the line is the point, and the line also stands between your team and the people they came to talk to. Staff for both.
Client appreciation days and open houses. Demand is spread rather than spiked, which is the easiest shape there is to serve.
How many guests, and for how long
Corporate events are easier to size than weddings, because you know the headcount and the agenda tells you the window. The problem is that the window is usually too short.
One barista pulls roughly sixty to seventy-five drinks an hour. A fifteen-minute break is therefore about eighteen drinks from one barista and about thirty-six from two. If you have a hundred people in the room and a fifteen-minute break, no staffing level fixes that.
The fix is usually the agenda rather than the staffing. Open the cart forty-five minutes before the first session and let people come as they arrive, or run it continuously through a breakout block instead of concentrating everything into one break. Past about a hundred and fifty attendees we staff a second barista regardless.
What companies usually add
A signature drink. Named for a product, a launch or whatever the event exists to support. It gives the cart a reason to be photographed.
Branded cups and signage. Part of why a cart works at a booth is that every cup walking away carries your logo across the hall. Printing sets the deadline, so raise it when you book.
Iced everything. Every drink can be made iced, which is what an outdoor activation on the Gulf Coast needs for most of the year.
Non-coffee options. Matcha and chai are already standard, and hot chocolate is worth adding to a December party. In a mixed room these take more orders than anyone predicts.
Working with your venue and AV team
The espresso machine needs a dedicated 110v circuit. In a ballroom that circuit is frequently already carrying lighting or AV, and a machine sharing with a lighting board will trip it in the middle of a session. Get us in front of the AV lead or the venue's event manager before the day rather than on it.
Setup takes about forty-five minutes and needs to land before doors, not during a session. A grinder is loud, and nobody wants one running behind a keynote.
The cart takes roughly eight by eight feet, and the queue needs somewhere to go that is not across a doorway or in front of the stage. If your venue or building requires a certificate of insurance or a vendor badge, tell us when you book and we will get it handled. Book four to six weeks out. If a company likes the cart enough to want good coffee in the office every week, that is a different service, and the wholesale program covers ongoing office accounts.

Questions about corporate coffee catering
How many people can you serve in a fifteen-minute break?
About eighteen drinks with one barista and about thirty-six with two. That is the honest arithmetic, and it is why we usually suggest changing the window rather than adding staff. Opening the cart before the first session, or running it through a breakout block, serves far more people than concentrating everything into one break.
Can the cart run a trade show booth all day?
Yes, and it is one of the best uses of it. Every branded cup leaving the booth carries your logo across the hall. Plan for a second barista on a full floor day, and plan for where the line stands, because it will sit between your team and the traffic they want.
Will the espresso machine trip the room's power?
Not if it has its own circuit. It needs a dedicated 110v outlet, and the failure we see is a machine sharing a circuit with AV or stage lighting. Ask your venue for a dedicated circuit at the same time you ask for the load-in window.
Can you brand the cart for our company?
Yes. Custom cups, signage and a signature drink named for your product or campaign are all standard additions. Printing sets the deadline, so raise it when you book rather than the week before.
