Wedding Coffee Cart and Mobile Espresso Bar

A wedding coffee cart is a staffed espresso bar dropped into your reception timeline, usually late, when guests have been at an open bar for three hours and want something that is not another cocktail. It is one of the last things people are handed before the send-off, which is a good place to be. Our mobile coffee cart page is the place to start if you have not seen it yet.

When in the day a coffee bar actually works

Placement matters more than anything else you will decide about the cart. A coffee bar at cocktail hour usually underperforms one placed late in the reception. Guests have just come from the ceremony, the bar is open and new, and coffee is competing with a signature cocktail it will not beat.

With dessert. The strongest single placement. Cake and coffee pull on the same instinct, and the demand arrives in one clean wave you can staff for.

The last hour. The second strongest, and the one planners ask for most often. A latte at nine-thirty puts people back on the dance floor instead of into the parking lot.

The send-off. Works if guests have something they can carry. Every drink can be made iced, which is what a to-go cup wants in July.

Getting ready and the rehearsal dinner. Both work, and both are small. Below about forty guests the cart is presence rather than throughput. That is a fine reason to book it, but the line will never be the event.

One constraint shapes all of it. Setup takes about forty-five minutes, and it has to happen before guests are in the room rather than while they are.

How many guests, and for how long

A wedding does not spread its demand. Whatever hour you open the cart, most of the drinks come in the first thirty minutes, because everyone hears about it at the same time. Rate matters more than total.

One barista pulls roughly sixty to seventy-five drinks an hour once the bar is warm. So a hundred and twenty guests over two hours is comfortable for one barista even if nearly everyone takes a drink. Past about a hundred and fifty guests we staff a second barista, because at that size the wave outruns one person and your guests spend the last dance standing in a line.

Two hours of service is the usual reception booking. Three makes sense when the cart opens with dessert and stays open through the send-off.

What couples and planners usually add

A signature drink. Named for the two of you and printed on the sign beside the cart. It is the add that ends up in photographs.

Something for guests who do not drink coffee. Matcha and chai are already on the cart, and hot chocolate earns its place at a December wedding or any reception with children in the room.

Custom cups and signage. Usually matched to the invitation suite. Printing sets the deadline, so raise it when you book.

Working with your planner and venue

We would rather talk to your planner or coordinator than to you during the week of your wedding. Once the date is booked, hand us the contact and the timeline, and the cart becomes their line item instead of yours. Three things belong on the floor plan and the run sheet. The cart takes roughly eight by eight feet, plus room for a line and somewhere to step away with a drink. The espresso machine needs a dedicated 110v circuit, which means asking the venue early rather than finding out on the day that the band already has it. And the forty-five minute setup needs its own slot in the timeline.

Where the cart sits decides how much it gets used. Next to the dessert table, or on the path between the dance floor and the exit, is right. Tucked behind the bar or parked out in a hallway is not.

Book four to six weeks out. Saturdays in spring and fall go earliest, and those are the dates most weddings want.

Questions about wedding coffee carts

When should the coffee cart open at a wedding?

Later than most couples first plan. Dessert or the last hour of the reception both work better than cocktail hour, when guests have just arrived and the bar is new. If you want one window rather than two, open the cart as dessert is served and run it through to the send-off.

Do we need two baristas for a 200-guest wedding?

Yes. One barista makes roughly sixty to seventy-five drinks an hour, and at two hundred guests the demand arrives faster than that. A second barista keeps the line short enough that people actually join it. We add one past about a hundred and fifty guests.

Is a coffee cart worth it for a small wedding?

Below about forty guests the cart is presence rather than throughput. It looks good, it gives people somewhere to stand, and the barista is never busy. Book it for that reason if you want it, but a small wedding is not where a cart earns its keep on volume.

What do guests who do not drink coffee get?

Plenty. Matcha and chai come standard on the cart, so guests who never wanted coffee still get handed something real. Hot chocolate is a small add that the children at a reception will empty faster than anyone expects. Any of it can be poured over ice, which is what an outdoor reception wants for most of the year.
